Jean-Michel GATHY, a Belgian national born in 1955, is the principal designer and personally conceptualizes all design work since the company's inception in 1983. In April 2006, he was inducted into the "Platinum Circle of Hospitality Design" and honored as an industry figure whose career and achievements have contributed to the world of hotel design. Mr. GATHY has on several occasions participated as a jury member drawn from a panel of experts for various project awards and has been invited as an official guest speaker at international forums. The company's projects are also reviewed and applauded constantly in the professional press and often taken as reference. Responsibilities:
• General Office Functions.

• Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.

• Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.

The Project Secretary is responsible for providing administrative support to the project team and Senior Management, ensuring that all tasks are completed in a timely and accurate manner. The ideal candidate should be highly organized, possess excellent communication and interpersonal skills, and be able to work in a fast-paced environment.

Responsibilities:
• Assist the Senior Management in the day-to-day administration of projects. Provide support to project team members.

• Assisting our Senior Management’s (Head of Projects and Head of Design) incoming emails, highlighting important issues, scan & print drawings, taking dictation/notes to reply to emails and scheduling meetings.

• Effectively managing telephone calls, company emails, letters and other correspondences on behalf of the project team members, forwarding/diverting calls/correspondences to other team members where appropriate. This includes preparation and distribution of project related documentation, reports and arranging courier services for documents and parcels.

• Monitor and track project timelines and deliverables to ensure that project deadlines are met.

• Provide updates on project progress and address any issues / concerns in a timely manner.

• Communicate clearly with team members to ensure that project goals and objectives are clearly understood.

• Maintain and to keep record of project correspondences, project plans, presentations, reports and project photos, ensuring information are organized and easily accessible.

• Handle private and confidential documents ensuring they remain secured. Ensuring that appropriate confidentiality and discretion is exercised and maintained at all times.

• Conduct research as and when required. Assist with preparation and submission of presentations, reports and proposals.

• Organizing travel arrangements for Senior Management and team members. This includes flight ticket reservations, hotel accommodation, airport transfer, etc. as well as packing presentation materials for business travels.

• Assist in making telephone calls to clients or consultants.

• Compile claims (travel and medical) of Senior Management when necessary.

• Ensure available and sufficient stock of stationery, paper and printer cartridges for team members.

DENNISTON is actively looking to recruit both senior and junior level qualified, creative, and motivated architects and interior designers to join our experienced, dynamic team.

Responsibilities:
• Research, compare and source flights from airlines, travel agents and other independent platforms.

• Coordinate and liaise with travel agents and airline companies to arrange travel bookings for team members.

• Provide flights options to the intended destinations based on the travel requirements required for the Company.

• Process and manage flight reservations, changes and cancellations in accordance with the company's travel policies and procedures. This also includes the reissuance of air-tickets.

• Prepare and distribute in a timely manner the travel itineraries, flight details, hotel reservations, ground transportation and other related information to relevant team members.

• To assist with online check-in prior to flight, meal selection if available and to be on-standby when team member is/are travelling, in case of scheduled flight disruptions.

• To check and apply for travel visa, travel documentation, health declarations and entry/exit requirements to the intended country of travel. Ensure compliance with all government regulations, airline policies and other travel-related regulations.

• Research, book and arrange hotel accommodations, hotel and airport transfers, car rental as and when required.

• Ensure team members have valid travel insurance. To renew travel insurance and handle travel insurance claims when required.

• Ensure that all travel arrangements are made within the company's allocated budget and travel policies with necessary approvals obtained from the relevant departments.

• Analyze travel data to identify cost-saving opportunities and provide recommendations to the management.

• Manage and maintain the company's travel database, passport and visas, ensuring that all information is accurate and up-to-date. This includes monthly reporting regarding travel, flight tickets and changes or cancellations


Requirements:
• Able to study and read OAG Flight Tracker.
• Have at least IATA / UFTAA Certificates for the Travel Industry.
• Experience in Travel Agencies with knowledge and understanding of fare rules and terminology.

They must also be familiar with the standard forms of agreement, contractual obligations and terms and conditions between the client, owner and the Design consultancy firm.

Responsibilities:
• To collect and compile detailed information of potential business enquiries and opportunities in sufficient detail as to enable the MD / Management team to make informed decisions.

• To prepare and write detailed and comprehensive Design Services contracts for Architectural, Interior Design and Landscaping services.

• To evaluate and amend as necessary, in consultation with the MD/Senior Management, Design Services contracts that are specific to regional or international requirements, conditions, and/or regulations.

• To identify and establish an efficient and effective line of communication with the client or client representative as required.

• Prepare timely invoices for work performed or completed in terms of the drawdown or delivery milestones as agreed in the contract.

• Identify and quantify any variations or amendments to the agreed invoicing / drawdown schedule. These variations must be brought to the attention of the MD and accounts department.

• Identify and resolve with the MD/Senior Management any potential or actual contractual issues that may arise during the course of the contract.

• To prepare a detailed monthly report for MD/Senior Management on the status of each of the projects, highlighting any discrepancies of potential variations to the scope of work, additional variations that would raise additional fee claims, or require an extension of time.

• To assist in ad hoc assignments that are required by the MD/Senior Management from time to time.

• To have proven management and leadership skill.

• To also have excellent people skills to successfully and professionally communicate, present and negotiate with the client or the client's representative as directed by the MD/Senior Management.


Requirements:
• Degree / Masters in Architectural and/or Quantity Surveying or its equivalent.
• A minimum of 15 years experience.
